    This dashboard will allow you to retrieve a list of your supplier addresses by Country, State and Address Purpose. It will also highlight addresses that do not have any of the following details: Phone, Fax and Email.

    The Address column of the report is designed to display the entire address and is compliant with the United States address format. It can be updated to display any other address format as needed. In addition, the report can be easily modified to include Fax and Email in addition to the already included Phone column.

    The attached Deployment_Instructions.pdf contains steps for importing the dashboard to your instance.  Also attached is the Supplier Addresses by Location and Address Purpose.catalog file to import the dashboard to your instance.

    Creating ad hoc OTBI reports with links to navigate to supplier profiles.

    The 19C feature: Navigate to Supplier Profile from Reports allows you to include links in your ad hoc OTBI and BIP reports. These links can be used to navigate to and view supplier profiles.

    Below is an example of one such ad hoc OTBI report that lists suppliers missing Business Classifications. This report can be used to review the list of such suppliers and update their profiles to include the missing information.

    Steps to include username in the new supplier user account email

    When a new supplier user account is created in the application, an email is sent to the new user to reset password and log into the system.  This email, however, does not contain the username information by default.  Buying organization usually determines the username format internally, for example, firstname.lastname@<company domain>.com; this format information is not clear to its supplier users.  You can follow the steps below to include the username information in the email so that supplier user will have the complete account information to access the Supplier Portal application.

    1. Log into the application as an administrator user and go to Security Console > User Categories
    2. Click on the Default user category link, then click on Notifications from the side panel on the left.
    3. Click on Edit button on the upper right corner of the page.
    4. Make sure Enable notifications checkbox is checked for Notification Preferences.
    5. Locate a template name "ORA New Account Template".  This is the template used for the new user account email by default.  Click on the template link to review the details in the dialog.
    6. Uncheck the checkbox for Enabled.  We will disable this default template.
    7. Click Save and Close to dismiss the dialog.
    8. Click on Add Template button.
    9. Provide template name.  Check the Enabled checkbox. Select "New user created" from Event drop down.
    10. For Message Subject and Message, you can reference the details for the same in the "ORA New Account Template", copy the content here and make adjustment as needed.
    11. To include the username information, add the token: ${userLoginId} in the part of the Message that you see fit.
    12. Click Save and Close.
    13. Click Save, and then click Done.

    Emails sent to new supplier users will contain the username information to help user successfully log into Supplier Portal. (See the screenshot for an example email below.)


    Please note that since all new users in the application is assigned to Default user category by default, the notification template change above will impact all new users in the application.

    After a supplier's spend authorization request is approved, the following changes will be applied on the supplier profile:

    1. Supplier’s business relationship changed to Spend Authorized,
    2. New sites created for the supplier depending upon the addresses and business units available in the request, and
    3. Site assignments can be automatically created for the new sites.

    Sites and site assignments are necessary for any financial transactions for the supplier. Site creation is automated so that sites are available at the earliest and with minimal manual intervention.

    Site assignments are also auto created based on the Procurement BU of the site. For more flexibility, you have the option to control the auto creation of the site assignments i.e. you can configure whether auto creation should happen for site assignments or not.

    This configuration is controlled by a checkbox option ‘Auto create site assignments for spend authorized suppliers’ present on the Configure Supplier Registration and Profile Change Request setup. By default, the checkbox is enabled that means site assignments will be created automatically. Unchecking this checkbox will prevent the auto creation of site assignments post spend authorization request approval.

    If you choose to not auto create site assignments, you will have to create them manually from the Edit Supplier page before you enter transactions for such suppliers.


    Best Practice:

    Based on the business unit setup, consider the number of client BUs that will need to transact with the sites. If the majority of them will need to use the sites for transactions, enable the auto create site assignments option. Otherwise, it may be better to manually create the site assignments rather than deleting the unwanted assignments created from the auto create configuration.

    Where can I find FBDI Import templates for my current quarterly update?
    Step by Step instructions to find FBDI Import templates on Oracle Help Center

    File-Based Data Import Templates are used to import supplier data from external sources into Oracle Fusion Procurement Cloud. The templates are routinely enhanced to incorporate new functionality and may differ from one quarterly update to another. These templates are available on the Oracle Help Center and here are the step by step instructions to locate them for a given update. It is recommended that you use templates that correspond to your current update.

    1. Access the Oracle Help Center and navigate to Cloud Documentation.
    2. Click on the Applications link that appears on the left.
    3. Click on the Procurement link available under Application Services > Supplier Chain Management
    4. Select the quarterly update and then click on the Integrate link that appears on the left.
    5. Click on the Get started with file-based data import link. NOTE: You can review the SOAP and REST Services from this page as well.
    6. Expand the File-Based Data Imports section.
    7. All the import templates available for the update chosen are listed.

    Use ERP Integration Service to automate Supplier Import
    (How-To) use the ERP Integration Web Service to import suppliers into Oracle Procurement Cloud

    Supplier Import feature allows you to bulk load suppliers from external systems into Oracle Procurement Cloud. This involves capturing the import data in a CSV format, uploading the data file to the UCM server, loading the data into interface tables and then moving it to the supply base post successful validation. The loading and importing of data is accomplished by scheduling 2 ESS processes:

    1. Load Interface File for Import process that loads the data into the interface table
    2. The import process that validates the data in the interface tables and moves it to the supplier base (E.g. Import Suppliers, Import Supplier Addresses etc.).

    ERP Cloud provides an integration web service that helps automate the steps to upload data file (CSV format) to the UCM server, load the data into interface tables and subsequently import it into Oracle Procurement Cloud. This eliminates the need to execute these steps manually.

    Here are the instructions to import supplier data using the ERP Integration Web Service:

    1. Use the FBDI templates available on Oracle Help Center to capture the import data and generate the CSV file (made available as a zip file). TIP: Using these templates ensures import data is loaded into the interface in the correct format. The latest import templates are available here.
    2. Convert the zip file generated above to BASE64 encoding. NOTE: You will later need to insert that in the request payload below.
    3. Construct the ERP Integration Service End Point URL (WSDL URL). Note: Replace HOST_NAME.DOMAIN_NAME using the appropriate values from your pod instance in this URL: https://<hostname>.<domainname>/publicFinancialCommonErpIntegration/ErpIntegrationService.
    4. Create the payload for the operation: importBulkData available as part of the service. In general, this operation uploads the file specified in the payload to the UCM server and submits ESS jobs to load and import the uploaded files to the appropriate application. NOTE: Sample request payload included below.
    5. Ensure the payload is correctly populated as follows:
      1. Insert the ZIP file contents in BASE64 encoding within the <erp:Content> tag.
      2. Specify the exact file name of the ZIP file in the <erp: FileName> tag.
      3. Include the correct import process in the <erp: JobName> tag. E.g. include /oracle/apps/ess/prc/poz/supplierImport,ImportSuppliers if suppliers are being imported or /oracle/apps/ess/prc/poz/supplierImport,ImportSupplierAddresses if supplier addresses are being imported.
      4. List the import parameters in the order specified within the <epr:ParameterList> tag: Import Options (valid values: NEW,ALL,REJECTED), Report Exceptions Only (valid values: N,Y), Batch ID (as specified in CSV data file. Do not include a value if not specified in data file.)
    6. Invoke the ERP Integration Service.
    7. The response of the operation: importBulkData contains the process ID of the job that will load the import data into the interface tables. The process ID of the job that actually imports the data from the interface table into the application is not included, but is available to view from the Import Suppliers UI once the process is scheduled. NOTE: Sample response payload included below:

    How to display the external Supplier Registration pages in different languages
    Buying organizations deal with suppliers who interact in languages other than that of the buying organizations. This requires buying organizations to provide potential suppliers with the registration


    The administrator can access the setup tasks in the following steps from the Setup and Maintenance work area.

    Step 1: Identify the installed languages.

    The key to changing the language for the Supplier Registration pages is to find the corresponding Language Tag in the setup task ‘Manage Languages’. Choose to display only the languages installed by using the ‘Installed’ drop down under the Search region. Translation can be done only for installed language packs.

    Note down the ‘Language Tag’ value for the languages in which the pages need to be rendered. 


    Step 2: Append language to the Supplier Registration URL.

    Pick up the external Supplier Registration URL from the setup task ‘Configure Procurement Business Function’. Please note that the setup task access is Procurement BU specific and therefore the Supplier Registration URLs are also Procurement BU specific.


    The URLs picked up will be in the format:

    Prospective Supplier Registration: https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>

    Spend Authorized Supplier Registration:


    To render the URL in the required language, append the language tag noted earlier to the end of the registration URL in the format: &lang=<Language Tag Value>

    https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>&lang=<Language Tag Value>

    E.g: https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>&lang=es

    Point to note:

    • The language tag should be given as it is and not be enclosed in quotes or brackets.

    Buying organizations can append the URL with required language before sending it to potential suppliers. Alternatively, if the URL’s is published on the buying organization’s website they can publish multiple URLs pointing to different languages.

    A step by step guide to customize External Supplier Registration pages

    Process to access customization UI on External Supplier Registration pages is slightly different from the one followed for pages used by users internal to your organization.

    This topic explains how to access the UI and subsequently customize the External Supplier Registration page. As an example, we will modify the Instruction Text available on the Company Details train stop of the External Supplier Registration page.

    NOTE The steps below are also available in the attached PDF document: Customize External Supplier Registration Pages.pdf.

    A. How to access customization UI on External Supplier Registration pages

    1. Invoke the External Supplier Registration URL provided. NOTE: This URL is available on the setup task: Configure Procurement Business Function.
    2. Login as a user with the Procurement Application Administrator role. NOTE: You may see an error: The Supplier Registration page cannot be found. Check the URL and try again. This error can be ignored.
    3. Replace the URL with the External Supplier Registration URL retrieved in Step 1.
    4. Access Manage Sandboxes to create a new sandbox.
    5. Create a new sandbox and activate it. NOTE: Activating the sandbox, will take you to the Fusion Applications homepage or the springboard as it is commonly known. Simply replace the URL with the External Supplier Registration URL again like in Step 3.
    6. Navigate to the 'Customize Supplier Registration Pages' menu option available under the user menu on the top right of the page.
    7. Provide values for the mandatory fields Company, D-U-N-S Number, Tax Organization Type, Contact Information before proceeding ahead.
    8. Navigate to the Select tab on the customization UI.


    B. Modify instruction text on External Supplier Registration page

    1. After navigating to Select tab, click on the instruction text that you need to personalize. Clicking the instruction text will show Edit Component option.

    2. Click on the Edit Component option. To change the text of the instruction text, click on the arrow next to the Value field. From the list of options, click Override and then click Expression Builder to enter the new text as shown in following screen shots.





    3. Click OK to close the popup. Verify the changed instruction text on the Company Details page.

    4. Once the changes are final, you need to publish the sandbox so that the change is available to all the users.

      Point to consider:

      Use this page composer approach to change a string when you need the string changed for a page. If you need to change the string on all the pages across the application i.e. to reflect the change on all the pages that have this string used, use User Interface Text instead. Refer to earlier post 'How to edit an instruction text using User Interface Text feature?' for more details on User Interface Text.
