Adding site assignments to a supplier site.5.0

    Title:
Adding site assignments to a supplier site.
    Summary:
How do I successfully add site assignments to a supplier site
    Content:

A supplier site is always created in the context of a Procurement BU. This association allows Procurement BU to set terms, controls, and policies which govern how procure to pay transactions are executed between its Client BUs and the supplier.

A supplier site can have one or more site assignments and site assignments indicate which Client BUs can transact with the site in question.

Creating site assignments is a crucial step for suppliers to be able to transact with the buying organization. For example, a supplier cannot be specified on a purchase order if a site and site assignment in the correct Procurement BU and Client BU respectively are not defined on the supplier profile.

It is mandatory to specify a Client BU on a site assignment as shown in the screenshot below:

If for some reason your Client BU is not available to be selected, you will need to verify the following:

    1. A service provider - client relationship exists between the Procurement BU of the supplier site and the Client BU you want to use on the supplier site assignment.

NOTE: To view the relationship, navigate to the Manage Business Unit task in Setup and Maintenance and look for the Client BU.  Access the Manage Service Providers action and confirm that the Procurement BU is listed under Procurement Service Providers as shown in the screenshots below.

    2. The Client BU has either a Requisitioning or Payables Invoicing business function.

NOTE: To view the business functions assigned to the Client BU, access the Assign Business Functions action as shown in the screenshot below and verify that the Client BU has one of the functions listed above.

    3. The Procurement BU and Client BU are active.

Allow users to view supplier profile PII attributes unmasked5.0

    Title:
Allow users to view supplier profile PII attributes unmasked
    Summary:
Configure view only supplier profile access to see unmasked PII attributes
    Content:

Internal users with Supplier Profile Inquiry Duty have view only access to supplier profile.  With this duty, user typically sees supplier PII attributes as masked, such as taxpayer ID and tax registration number (for suppliers with Individual or Foreign Individual tax organization type) as well as national insurance number.  When there is a need to allow a particular group of users to see these PII attributes as unmasked, it's necessary to configure a duty role to include the data security policy that enables this.  To achieve this, the following steps can be followed by an administrator or someone who can create and modify job roles:

    • Go to Security Console.  Search and copy duty role Supplier Profile Inquiry (ORA_POZ_SUPPLIER_PROFILE_INQUIRY) with copy option "Copy top role and inherited roles".
    • Under the Data Security Policies train stop, click Create Data Security Policy button.
    • Search for Supplier Personally Identifiable Information in Database Resource LOV dialog.
    • Select All values for Data Set.
    • In Actions drop-down, check Maintain Supplier Corporate Identifiers and Maintain Supplier Individual Identifiers PII.
    • Review the changes under the Summary and Impact Report train stop.
    • Complete the role copying and modification by clicking the Submit and Close button.
    • Refer to the steps above to create a new job role. Assign the new duty role to the job role.
    • Assign the job role to an internal user.

This internal user will continue to have view only access to supplier profile, but he/she can see the supplier profile PII attributes as unmasked.

Approval Configuration for Supplier Profile Change Requests15.0

    Title:
Approval Configuration for Supplier Profile Change Requests
    Summary:
Understanding the impact of setup task Configure Supplier Registration and Profile Change Request on the approval routing of supplier profile change requests.
    Content:
Supplier Profile Change Request is a document that consolidates all the changes from a supplier user, either directly through profile edit in Supplier Portal or through questionnaire or negotiation response, and route it for approval.

The change request approval is determined through two setup pages. The first one determines if an approval is required or not. If from the first setup, application identifies that approval is required, then it uses the second setup to determine the approvers for the change request.
    The setup pages are:

    1. Configure Supplier Registration and Profile Change Request, and
    2. Manage Supplier Profile Change Approvals

This post intends to provide details for the first setup task i.e. Configure Supplier Registration and Profile Change Request. We will cover details for the second setup task i.e. Manage Supplier Profile Change Approvals in another topic.

Configure Supplier Registration and Profile Change Request
This is the first setup that determines whether a supplier profile change request requires approval. Oracle Procurement Cloud gives you the flexibility to configure approval required only for supplier profile entities that you consider as important for collaborative review and approval process. For the entities that you consider as not so important for reviewing changes, you can configure them as approval not required. You also get the flexibility to configure the approval requirement for the supplier profile change requests based on supplier’s business relationship.

Use cases to explain the setup behavior:

    Use case 1:
For all suppliers i.e. Prospective as well as Spend Authorized, you do not want approval for changes to supplier Contacts and Addresses, but you want approval for all other supplier entities.
In the setup page, for both the business relationships, configure Contacts and Addresses as No Approval Required. Configure all other entities as Approval Required. With this setup, application will apply directly (auto approve) a change request with changes only to supplier contacts or supplier addresses or these two combined. Change request with changes to any of the other entities will be routed for approval.

    Use case 2:
For Spend Authorized suppliers, profile changes to only Bank Accounts and Products and Services require approval.  For all Prospective suppliers, profile changes to only Products and Services require approval.
In the setup page, under Spend Authorized business relationship, configure Bank Accounts and Products and Services as Approval Required and all other entities as No Approval Required. Under Prospective business relationship, configure Products and Services as Approval Required and all other entities as No Approval Required. With this setup, whenever spend authorized supplier’s bank accounts or products and services are changed, application will route the changes for approval. If for same suppliers, changes do not include bank accounts or products and services, application will apply directly (auto approve) the change request. Similarly for prospective suppliers,  if a change request has products and services changes then application will route the request for approval otherwise it will directly apply (auto approve) the change request.

When evaluating a change request, if application identifies the need for approval based on this setup, it will route the change request to approvers as configured on the approvals setup task Manage Supplier Profile Change Approvals.

    Best Practice:
Evaluate your business and utilize the options available to configure whether changes to supplier profile entities require approval or not.
    This will:
    1. Improve the turnaround time,
    2. Lower the change requests count that approvers will have to review and approve, and
    3. Reduce the overhead for Supplier Administrators or Supplier Managers following up with approvers to get the profile changes dispositioned.

approval on internal supplier profile changes
    Summary:
I have an idea to prevent supplier internal changes with no need for approval .
    Content:

    Hello ,

i have a business requirement from one of the customers ,

He have two people with supplier manager role .

    Buyer A and Buyer B .

Buyer A has to go to supplier Profile to promote him to spend authorized from prospective status . but we need to prevent this user from editing Supplier Profile .

Buyer B have the authority to amend the supplier profile , no problem .

Now based on these cases i have a requirement to restrict Buyer A Not to amend Just Promote , and based on latest updates , we can not create a custom role that seperated the supplier maitain priviliges and the promote supplier button .

so i am suggesting a new work around :

1- as there is a UI Personalizations based on the Role

2- we will create custom role to be copied from the supplier manager .

3 we will custom the UI to make some fields disabled or not showing for this custom role .

i think by this way we have a work around for this  ER 21984076 .

Now i need a document or steps guides me how to personalize the UI ti be per role level not Site Level

Approval Rules Configuration for Supplier Profile Change...5.0
Topic posted June 27, 2019 by Piyush SinghGold Trophy: 10,000+ Points, tagged Approvals/Notifications, Supplier Profile Management
    Title:
Approval Rules Configuration for Supplier Profile Change Requests
    Summary:
Understanding the approval rules setup and how these are evaluated to route a supplier profile change request.
    Content:

In an earlier post (link), we explained how a supplier profile change request is determined for approval requirement using two setup pages.

Through this post, we will explain how Manage Supplier Profile Change Approvals setup page can be used to meet your approval routing requirements.

    Manage Supplier Profile Change Approvals

This setup page has two stages and six participants in total. For the detailed explanation on stages and participants, you can review our whitepaper: Setting up Document Approvals Oracle Fusion Procurement Cloud (Doc ID 2264952.1).

Using this setup page you can author approval rules with conditions based on which a change request will be routed for approval. As part of rule configuration, you also choose the list of approvers who should receive the request for their approval when a rule evaluates to true.

To author approval rules, it is important to understand how application uses approval attributes based conditions to evaluate approval rules. Following are the key points along with examples to explain how this is done. Please note, the values denoted in single quotes are valid values for given supplier attribute that will be used as an approval attribute or change request attribute or both.

    1. Each approval attribute belongs to a dimension like change request header, change request organization detail, change request tax identifier, change request products and services category etc.

    2. If the value of approval attribute is changed, the changed value of the approval attribute is considered to evaluate if the approval condition is true.

      Examples:

      Approval Rule Attribute

      Approval Rule Condition

      Change Request

      Rule outcome/Case from flowchart

      Supplier Type

      Supplier Profile Value = ‘Sub-Contractor’

      Supplier Type equals ‘Manufacturing’

      Supplier Type Changed to ‘Manufacturing’

       True/Case 1B

      Supplier Type Changed to ‘Internal’

      False/Case 1A

    3. If the value of approval attribute is not changed, but another supplier profile attribute belonging to the dimension of the approval attribute is changed, then the supplier profile value of the approval attribute is considered to evaluate if the approval condition is true.

      Examples:

      Approval Rule Attribute

      Approval Rule Condition

      Change Request

      Rule outcome/Case from flowchart

      Business Classification

Supplier Profile Value = ‘Small Business’

      Business Classification equals ‘Small Business’

Certifying Agency Changed to ‘National Women Business Owners Corporation’

      True/Case 3B

       Business Classification equals ‘Minority Owned’

Certifying Agency Changed to ‘National Women Business Owners Corporation’

       False/Case 3A

    4. If the changed attribute does not belong to approval attribute’s dimension, then following additional cases apply:

      1. If the approval attribute belongs to one of the following dimensions - change request header, change request organization detail and change request tax identifier, then the supplier profile value of approval attribute is considered to evaluate if the condition is true.

        Examples:

        Approval Rule Attribute

        Approval Rule Condition

        Change Request

        Rule outcome/Case from flowchart

        Supplier Type

        Supplier Profile Value = ‘Sub-Contractor’

        Dimension: Change Request Organization Detail

         Supplier Type equals ‘Sub-Contractor’

Products and Services Category added: ‘Hardware’

         True/Case 4BB

         Supplier Type equals ‘Manufacturing’

Products and Services Category added: ‘Hardware’

        False/Case 4BA

      2. If the approval attribute does not belong to one of the following dimensions - change request header, change request organization detail or change request tax identifier, then the condition will always be evaluated to false.

        Examples:

        Approval Rule Attribute

        Approval Rule Condition

        Change Request

        Rule outcome/Case from flowchart

         Business Classification

        Supplier Profile Value = ‘Small

        Business’

        Dimension: Change Request Business Classification

        Business Classification equals ‘Small Business’

Products and Services Category added: ‘Hardware’

         False/Case 4A

        Business Classification equals ‘Minority Owned’

Products and Services Category added: ‘Hardware’

         False/Case 4A

    *Please note:

    • Point 4 (a and b) is only applicable starting in update 19B.
    • Supplier header level DFFs belong to change request organization detail dimension. Whether changed or not, these will always be evaluated.

Following flow chart depicts the above mentioned cases (True and False indicate approval rule condition outcome):

Approve Option in the Manage Supplier Registrations Page
    Content:

    Hello,

Can we approve Suppliers from the manage Supplier Registrations page?

When I open a registration by clicking on the Registration Request number -- I remember from my earlier implementations that ---  it used to open the Request with a Action button on top right with all actions to approve - reject - Request more Info etc.

Now in another instance i dont see it. I dont remember having any setup which would enable this from my prev implementation.

Can someone help throw more light if I remember this right or the actions button was never there ? In the manage Supplier Registrations page?

    Attaching a screenshot too.

    Thanks!!!!!
