    You can search for supplier registration requests from Suppliers Workarea using task ‘Manage Supplier Registration Requests’. As detailed below, this task allows users to control data access by provisioning the privilege and granting agent access.

    1. Users cannot access the task without having the privilege ‘Search Supplier Registration Request’, and
    2. Users cannot search supplier registration requests from those Inviting Procurement BUs for which users are not Procurement Agents with Manage Suppliers action allowed.

    This post provides details about the second security mentioned above.

    When searching for supplier registration requests, there are multiple search options available to help users search specific supplier registration request. One of the search options available is ‘Inviting Procurement BU’.

    The value of this attribute represents the business unit that invited the supplier to register. You must note that all external registration requests have an Inviting Procurement BU value, whereas internal registration requests may or may not have.

    When you setup the user as a Procurement Agent and grant the access to Manage Suppliers action for a particular procurement business unit, the user will be able to search for supplier registration requests that were invited to register through this procurement business unit (refer screenshot 2).

    When a user is not a Procurement Agent or is not granted access to the Manage Suppliers action for specific procurement business unit, the user will not be able to see any supplier registration requests that were registered through this procurement business unit. If user is not a Procurement Agent for any business unit, then the search panel will not show any value for the Inviting Procurement BU attribute, and search results will only be from those requests that have no value for Inviting Procurement BU (refer screenshot 3). This also implies that none of the external supplier registration requests will show up in the search results (refer screenshot 4).

    Supplier registration request approvers receive the approval notification based on the registration request approval rules configuration.

    Let’s look at some significant options that an approver has when reviewing the supplier registration request.

    • Edit Supplier Registration Request
      The approver reviewing the notification can navigate to the Edit Supplier Registration Request page by clicking the hyperlink ‘Edit Supplier Registration Request’ on the approval notification.The approver can directly edit the registration request to provide additional information available to him or her or to correct any typos in the data entered. This will help save time as compared to when the registration request is requested for re-submission for simpler edits.
       
      • Privileges required to edit the supplier registration request:
        To access the Edit Supplier Registration Request option, the user must have the privilege ‘Edit Supplier Registration Request’.
        The Bank Accounts region will be available for editing only when the user has the ‘Edit Supplier Registration Bank Account’ privilege.
         
      • Approve the request from Edit Supplier Registration Request page
        If the approver needs to validate supplier registration data for duplicate, use the Approve action from the Edit Supplier Registration Request page. This option validates the supplier registration record for all possible validations, including duplicate validations and shows the errors to the approver.
        For example uniqueness of the Company Name, Taxpayer ID or Tax Registration Number are checked against the existing suppliers.

    The administrator can access the setup tasks in the following steps from the Setup and Maintenance work area.

    Step 1: Identify the installed languages.

    The key to changing the language for the Supplier Registration pages is to find the corresponding Language Tag in the setup task ‘Manage Languages’. Choose to display only the languages installed by using the ‘Installed’ drop down under the Search region. Translation can be done only for installed language packs.

    Note down the ‘Language Tag’ value for the languages in which the pages need to be rendered.

    Step 2: Append language to the Supplier Registration URL.

    Pick up the external Supplier Registration URL from the setup task ‘Configure Procurement Business Function’. Please note that the setup task access is Procurement BU specific and therefore the Supplier Registration URLs are also Procurement BU specific.

    The URLs picked up will be in the format:

    Prospective Supplier Registration: https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>

    Spend Authorized Supplier Registration:

    https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>&busRel=<value>

    To render the URL in the required language, append the language tag noted earlier to the end of the registration URL in the format: &lang=<Language Tag Value>

    https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>&lang=<Language Tag Value>

    E.g: https://<host>/fscmUI/faces/PrcPosRegisterSupplier?prcBuId=<value>&lang=es

    Point to note:

    • The language tag should be given as it is and not be enclosed in quotes or brackets.

    Buying organizations can append the URL with required language before sending it to potential suppliers. Alternatively, if the URL’s is published on the buying organization’s website they can publish multiple URLs pointing to different languages.

    Process to access customization UI on External Supplier Registration pages is slightly different from the one followed for pages used by users internal to your organization.

    This topic explains how to access the UI and subsequently customize the External Supplier Registration page. As an example, we will modify the Instruction Text available on the Company Details train stop of the External Supplier Registration page.

    NOTE The steps below are also available in the attached PDF document: Customize External Supplier Registration Pages.pdf.

    A. How to access customization UI on External Supplier Registration pages

    1. Invoke the External Supplier Registration URL provided. NOTE: This URL is available on the setup task: Configure Procurement Business Function.
       
    2. Login as a user with the Procurement Application Administrator role. NOTE: You may see an error: The Supplier Registration page cannot be found. Check the URL and try again. This error can be ignored.
       
    3. Replace the URL with the External Supplier Registration URL retrieved in Step 1.
       
    4. Access Manage Sandboxes to create a new sandbox.
       
    5. Create a new sandbox and activate it. NOTE: Activating the sandbox, will take you to the Fusion Applications homepage or the springboard as it is commonly known. Simply replace the URL with the External Supplier Registration URL again like in Step 3.
       
    6. Navigate to the 'Customize Supplier Registration Pages' menu option available under the user menu on the top right of the page.

    7. Provide values for the mandatory fields Company, D-U-N-S Number, Tax Organization Type, Contact Information before proceeding ahead.
    8. Navigate to the Select tab on the customization UI.

    B. Modify instruction text on External Supplier Registration page

    1. After navigating to Select tab, click on the instruction text that you need to personalize. Clicking the instruction text will show Edit Component option.

    2. Click on the Edit Component option. To change the text of the instruction text, click on the arrow next to the Value field. From the list of options, click Override and then click Expression Builder to enter the new text as shown in following screen shots.

    3. Click OK to close the popup. Verify the changed instruction text on the Company Details page.

    4. Once the changes are final, you need to publish the sandbox so that the change is available to all the users.


      Point to consider:

      Use this page composer approach to change a string when you need the string changed for a page. If you need to change the string on all the pages across the application i.e. to reflect the change on all the pages that have this string used, use User Interface Text instead. Refer to earlier post 'How to edit an instruction text using User Interface Text feature?' for more details on User Interface Text.

    I have created several Self Registered Suppliers - complete with Contacts (sometimes multiple).  After we have approved them and start to create Requisitions, Purchase Orders, Contracts and Negotiations using these Suppliers, the Contact name (and email) are unavailable.  Thinking that I may have missed a step in the setup, I went back and tried to get the Contact to appear.  No Luck!  Any thoughts?  Anyone else find this?  We had the problem in 19B and have just updated to 19C with the same issue...

    Supplier Descriptive Flexfields (DFFs) are shared between the Edit Supplier page (accessed from Suppliers workarea), Company Profile page (accessed from Supplier Portal) and Supplier Registration pages.

    Supplier DFFs can be configured via Manage Supplier Descriptive Flexfields or the Manage Supplier Registration Descriptive Flexfields setup task. Both these tasks point to same DFF entity and the DFFs are shared between these flows.

    This topic explains how these common DFFs can be made visible in one flow (say Edit Supplier) and kept hidden in another flow (say External Supplier Registration).

    NOTE: DFFs once configured and deployed are displayed in the Additional Information section. Additional Information section is visible by default on the Edit Supplier page, but needs to be made visible via customization when profile is accessed from Supplier Portal and on the Supplier Registration pages.

     

    In the example below we will use customization to hide one DFF on the Supplier Registration UI, but still keep it visible on all the other pages that share this DFF. The details below are also available in the attached PDF document.

    Let 's assume the Procurement Application Administrator has configured 2 DFFs: Insurance Provider and Policy Number. The steps below illustrate how one of these DFFs (Insurance Provider to be specific) can be hidden selectively on the External Supplier Registration page.

    1. Invoke the External Supplier Registration URL, activate a sandbox and access the Customize Supplier Registration pages menu option available under the user menu. Refer to the topic: How to customize External Supplier Registration Pages for exact steps.
       
    2. Provide values for the mandatory fields: Company, Tax Organization Type, D-U-N-S Number, Contact Information.
       
    3. Assuming the Additional Information section (which contains the DFFs) is already visible, navigate to the 'Structure' tab and expand the section that shows the hierarchical structure:

    4. Highlight the Additional Information section. This action will bring the focus to the corresponding node in the section showing the structure.

    5. Select the descriptiveFlexfield node as shown in screenshot below:

    6. Select the Edit action. This would open the Component Properties: descriptiveFlexfield popup. Navigate to the tab: Flexfield Global Context Segments tab. Select the DFF you want to hide on the Supplier Registration page in the Segment Code. Set the value to false in the Rendered dropdown menu.

    7. Publish the sandbox.
       
    8. Notice that the DFF is now hidden on the Supplier Registration page. NOTE: This change will be reflected on both the External Supplier Registration pages: Prospective Supplier Registration, Spend Authorized Supplier Registration but not on the Internal Supplier Registration pages (accessed via the Suppliers, Negotiations, Requisitions workareas).

    When a supplier address is created in various supplier management flows such as registration and profile management, the application will derive and default a country based on the following logic.

    A. External/Supplier Self Service Registration:

    1. If the parameter "countryCode" and a value is provided in the registration URL, it will be used to derive the country. For example, if user appends "&countryCode=FR" at the end of the external registration URL, country will be defaulted to France when user is creating address during the registration.
    2. If the parameter "countryCode" is not provided or it does not resolve to a country, the application will derive the country using the location assigned to the inviting Procurement BU that is associated with the registration URL.  To set the location of the Procurement BU:
      • Go to Setup and Maintenance work area and go to the Manage Business Unit setup page
      • Search for the Procurement BU, set the location and click Save
    3. If no country information can be obtained from the aforementioned, no default country will be populated.

    B. Internal Supplier Registration/Create or Edit Supplier/Register Supplier in Sourcing/Request New Supplier in Self Service Procurement:

    1. If a Procurement BU is provided in any of these cases, the application will use the location assigned to the Procurement BU to obtain a country.
      • For Internal Supplier Registration flow, Procurement BU is optional.
      • For Create Supplier or Edit Supplier flow, there is no Procurement BU context for address creation.
      • For Register Supplier flow in Sourcing, the Procurement BU is the one defined in the negotiation.
      • For Request New Supplier flow in Self Service Procurement, the application will first obtain the Requisitioning BU from the Requisitioning Preferences page in the Purchase Requisitions work area. It will then use the Requisitioning BU to derive a default Procurement BU from the Configure Requisitioning Business Function setup page.
    2. If a Procurement BU is not provided or if the Procurement BU does not carry a location assignment, the application will obtain the country from the job assignment location for the current user's employee record in HCM.  To set or change user's job assignment location on the employee record:
      • Go to Person Management work area and search for the person that the user is associated with
      • Take Manage Employment action, click Edit and then Update
      • Select Action: Location Change and click OK
      • Set the location for the job assignment and click Save
    3. If no country information can be obtained from the aforementioned, no default country will be populated.

    C. Edit Profile in Supplier Portal:

         When a supplier user creates a new address, if all active supplier addresses have the same country information, the application will use that country for defaulting. Otherwise, no country defaulting is supported.

    Hello,

    Can we approve Suppliers from the manage Supplier Registrations page?

    When I open a registration by clicking on the Registration Request number -- I remember from my earlier implementations that ---  it used to open the Request with a Action button on top right with all actions to approve - reject - Request more Info etc.

    Now in another instance i dont see it. I dont remember having any setup which would enable this from my prev implementation.

    Can someone help throw more light if I remember this right or the actions button was never there ? In the manage Supplier Registrations page?

    Supplier Registration email concerns if SSO is enabled
    Summary:
    When SSO is enabled, organisations are suppose to disable the user account related email and this disables the emails for new account creations for supplier as well.
    Content:

    If SSO is enabled, user account creation emails are generally disabled and this causes a challenge to implement supplier portal. As suppliers do not get communicated about their account creations automatically as soon as the account is created, followings are the possible solutions (and their challenges) which can be suggested to clients (there can be few more but these are based on my understandings of the application):

    1: Once supplier is registered and account is crated, go to security console, change the user category and reset the password to resend the emails to suppliers.

    Challenges - In most of the public (even in private) sectors, this activity is performed by a dedicated team of supplier admins/managers and they are not supposed to have the access of "Security Console" because of organisations security policies. Hence this solution doesn't sound feasible to clients.

     

    2- Keep notifications enabled and modify the content of user account email. Detail clear cut instructions for employees and suppliers on how they can access the application but again it comes with the risk that employees (new) might miss the instruction and start using it with the credentials provided in email rather that the SSO ones, which is again big concern for organisations.

     

    These are the 2 possible solutions which I could have thought of based on my understanding of Cloud application. Please feel free to correct me or suggest any alternate solution if you have come across similar requirement.
