    Hi,

    We got errors saying that the supplier contacts were not loaded and the rejection reason is "An error occurred. Contact your help desk". However, when I go into the UI to check, I see that the contacts are actually there. Is this an issue I should be concerned about? Or is it a bug?

    A supplier's bank accounts can be maintained at the supplier header, address or site levels. While the accounts can be added manually, you can also use file-based data import templates to add new bank accounts for a given supplier or any of its supplier sites.

    Does anyone know how to 'delete' a field (in our case the Alternate name) when using the 'Update' feature within the Supplier Import Spreadsheet ? If I enter a space character it just ignores the change. We could change the unwanted ones to have the text of 'Null' or 'Empty' but this is not an elegant solution.

    In today’s competitive business environment, organizations must continuously strive to optimize business flow efficiency and operate more strategically.  One opportunity is for smarter modeling of trading relationships with key business partners to gain better visibility and business insight into these relationships.  This is achieved in Oracle Cloud by creating multiple relationships with the same company, for example, a banking provider that is also a customer or, a customer that also serves as a strategic supplier providing goods or services.  These represent different business relationships with a single enterprise, which can be managed from both the supplier and customer master by leveraging a single shared party profile record.

    You can establishing a supplier relationship with an existing party either using Data Quality Management or using Supplier Import process. Following is a brief on the usages of these approaches.

    1. Data Quality Management (DQM): DQM is a preventive mechanism empowering users such that they do not create duplicate parties identified as parties with similar names. DQM does not rely on exact match of the name (depending upon the configuration) to list out the potential duplicates therefore is very effective in preventing duplicate parties in the application.
    2. Establishing supplier relationship using supplier import: When user knows the party that he or she has to create as a supplier, then this approach will be more effective. Following this approach, user saves time required to review all the potential matches as well as avoids any mistake in form of picking up incorrect party for supplier relationship establishment.

    *Details on Data Quality Management will be covered in another post.

    If you know the exact party that you want to create as a supplier, use the supplier import capability to achieve the same. Following are the steps you need to follow when creating supplier from an existing party (customer in the example below).

    1. Find the Registry ID of the customer from the Manage Customers task.

    2. Use this Registry ID and the Organization Name to create a supplier relationship for this customer using the supplier import process. Populate the FBDI template for Supplier Import as shown in the screen shot below.

    Points to consider when using Registry ID in the template:

    1. Provide Registry ID only for the import action ‘Create’.
    2. Organization Name must be entered exactly as the Supplier Name. If not, the record will be rejected.
    3. Complete the supplier import process (generate csv > load file to interface > run supplier import job).
    4. After the import process completes successfully, search for this supplier, and review the registry ID along with the Relationships of the supplier.

    Here are some useful tips for importing supplier attachments using the supplier attachments import template:
    Content:

    1. Pick the correct template as per your quarterly update. Refer to this post to access the correct FBDI template for your quarterly update:

    Where can I find FBDI Import templates for my current quarterly update?

    2. In general an import job can complete successfully and still have error status even if one of the records failed to import due to incorrect data provided. Check the report to ensure all attachments are    imported successfully and identify any failed records.

    3. The Supplier Attachment Import template contains three individual worksheets for importing supplier profile, supplier site and business classification attachments.The instructions to run the import are given in the ‘Instructions and CSV Generation’ worksheet of the import template.Do not delete worksheets corresponding to levels of attachments that you do not intend to import. Delete only the sample data from these unused worksheets.

    4. For a file attachment consider the following points:

    • Limit the number of attachments in each .zip file to less than 300.
    • Reduce the number of attachments in the .zip file even further if the .zip file size is more than 1.5GB. Use one or more zip files for each batch and use batch name as part of zip file name for ease of data entry in the spread sheet.
    • Execute import in multiple smaller batches as opposed to a single big batch to expedite the import process.
    • Make sure the zip filename matches the zip file uploaded in the UCM server.
    • Make sure the ‘File/Text/URL*’ column value in the spreadsheet has the full folder hierarchy of the attachment file inside the zip folder including subfolders if any. Take a look at the example below.

                             e.g: we have a zip file named: Policies.zip

                                    Subfolder: SupplierPolicies is a subfolder in the zip file

                                    File Name: Terms.doc is the file inside the subfolder

                                    Input for column ‘File/Text/URL*’: SupplierPolicies/Terms.doc

                                    Input for column ‘File Attachments .ZIP’: Policies.zip

    • Some of the special characters are currently not supported for a filename:

               <  >  *  ?  |  ;  "  :  /  \\  %  $  ( )
