    We have a requirement to capture requests for using items that are stocked in our warehouses for R&D, Internal testing or Trade shows etc. Such requests need to go through multiple approvals before they can be fulfilled.

    On reviewing the available options we planned to process such requests as "Purchase Requisitions" using Self Service Procurement where we use supplier as *** Internal. Approved requisition is then converted as an Expense order in OM cloud to schedule, plan and fulfill from the warehouse where the product is stocked.

    For this process we require the unit price on the requisition to default as Item Standard Cost. Please advise if there are any options to do this.

    NOTE: We don't want to use the option of updating List price in Item Validation Org with Item Standard Cost as that will be maintainence intensive and could cause problem with the true external PO pricing with the supplier.

    I have been a bit surprised to see a few posts that all seem to point to the same symptom when working with Descriptive flexfields. I thought it would serve as a good reminder for those that have used flexfields before and a good tip for others that are trying this out for the first time.

    Problem Statement:

    I customize the Edit Requisition page and enable the Descriptive Flexfields that I have created. However when I log in to the page, the descriptive flexfield is not displayed.

    Resolution:

    The cases I have seen this issue are ones where the Sandbox deployment was the issue. Here are the sequential steps you have to adopt to view the descriptive flexfields you have enabled on the Edit Requisition page:

    • Create DFF Segment 
    • Deploy the DFF 
    • Log out 
    • Log in 
    • Create a new sandbox and use it 
    • Enable the DFF 

    Now you should be able to see it. 

    NOTE:  All sandboxes created before a new DFF deployment won't be able to make the new segments visible you added in the deployment, even if the DFF structure is available during customization. A new sandbox is a must.

    I would like to know what is the difference between Recent purchases and Recent requistions in the Requistion UI. What is the criteria for showing the recent purchases? Why is all the recent requistions not showing in the recent purchases? Any explanation between the two will help. I know this UI change was introduced in 17B.

    I thought it might be of interest to post this. I would be interested to understand how many of you have this in your catalog of items. Please share your experiences if relevant here.

    Problem:

    The customer had items that had special characters included in the Item Name. As one example, one of them mentioned the use of an asterisk (*) as a special character. The issue was that when they searched for these items, the system did not retrieve any results. Without the special character, when they searched, it brought back items including those that contained such special characters.

    Solution:

    The following resolution was provided:

    Star is a reserved character in oracle text index.

    Use escape character if it a reserved character in the Oracle Text Index.

    Problem

    The funds status changes to reserved only after approval. How do I make sure that funds are reserved as soon as the requisition is submitted for approval?

    Resolution

    You can use budgetary controls to define the point in time at which you want funds to be reserved for requisitions and purchase orders. You can enable funds to be reserved when the document is submitted for approval or upon completion of approvals.

    To set up the funds reservation point for requisitions and purchase orders, use the Manage Budgetary Control and Encumbrance Accounting page. From the Setup and Maintenance work area, search for the task Manage Budgetary Control. It is also located under the Budgetary Control and Encumbrance Accounting functional area in the Financials offering.

    You define the funds reservation point at the business unit level. In the Procure-to-Pay Business Functions section, you can set the reservation point for Requisitioning and for Purchasing. For a business function, set the reservation point to one of these options:

        Submission: Funds reservation is done when the document is submitted for approval

        Approval: Funds reservation is done after the document is approved.

    Problem Statement:

    Unable to add items from a punchout site to the requisition

    Tip to troubleshoot:

    While a punchout item has to be added to the requisition on returning from the supplier site, in certain instances, we have noticed that the item is not so added. 

    One of the common instances we have requested support and the customer to troubleshoot is whether the punchout URL on returning from the supplier site is being truncated.

    So the next time this seems to occur, you need to check if the supplier site is in fact truncating the return URL and if so, request the supplier to pass the complete URL to resolve the issue.

    Analysis and Troubleshooting Tips:

    Our development experts frequently face this question from support and customers. While approvals is a complex feature, we are attempting to offer some troubleshooting tips here that appear to be very common in reviewing the issues reported. Review these tips as a first step in your organization if you encounter the issue discussed here.

    1. If you are using the FSM task 'Manage Requisition Approvals', then the ReqApprovalTask in BPM should always be in READ ONLY mode. 

    In the case of a few customers we reviewed, the ReqApprovalTask was in EDIT mode. This causes instability and unexpected behavior.

    2. When defining rules using the FSM task 'Manage Requisition Approvals', ensure that there are no leading spaces (beginning or end) or containing a period (.). Defining rules with these will cause issues in BPM as they will error out causing approvals related issues because the approval rules are no longer in sync between FSM and BPM

    NOTE: We are reviewing solutions to prevent such rules from being saved. Until then, you need to make sure such rules are verified.

    3. If the user name which is the basis for approvals to work on is modified, then you have to ensure that the rules that reference the specific user name/s are updated. This is not going to be done automatically by the system because it has no way of identifying such changes. This also causes approval notifications to fail.

    I hope this analysis helps you in some base troubleshooting of common approval issues. Our endeavor is to produce similar articles as we encounter more common occurrences where a bit of troubleshooting goes a long way.

    Problem Statement:

    Today, you can cancel requisitions even if during the process, budgetary control fails to release funds reserved against the requisition. We allow this behavior because we do not want the requisitions to be placed on purchase orders that are no longer needed and reach the suppliers. 

    Solution proposal:

    1. As discussed in a previous article, the first step is to run the Cancel Requisition Lines in Spreadsheet from Fusion Self Service Procurement to see all open commitments that need to be liquidated in a given period

    2. You then have to decide whether to cancel these requisitions or place any approved ones on a purchase order.

    3. You can set the Budgetary control default date rule to 'System Date' as opposed to 'Current Transaction Budget Date'. This will ensure that any cancellations will have the funds released in the current period.

    NOTE: 3. is set up in the FSM Task 'Manage Budgetary Control'

    4. In the event that a requisition is canceled but the funds are not released because of a closed period, you can adopt the following process:

    a) Create a report using OTBI to see all requisition distributions with Fund Status of 'Failed'. (These are the distributions that are holding funds)

    b) Create a manual encumbrance commitment journal entry for Encumbrance Accounting reversals (If applicable)

    c) Manually fix the budget

    We do not expect that you will have too many of requisitions in this status but if you do, this is the recommendation.

    We are reviewing ideas to enhance these processes including a funds check warning upon cancellation of requisitions or other alternatives. Goes without saying these are merely ideas at this time not time bound proposals.

    I wanted your responses on the following question:

    Do your requesters use counts that are displayed in the Filters or Browse by Category structures on the Shopping Home Page? As you know, counts are displayed within parantheses on the Filters region or in the Browse by Category tree hierarchy.

    The question is for me to simply glean usage and see if there are any valid business cases and if not, conclude that.
