How To Manage Services Purchasing In Quantity? (Doc ID 2228507.1) To BottomTo Bottom

Modified: Jan 31, 2017 Type: HOWTO

    In this Document

      Goal
      Solution
      References

    Applies to:

Oracle Fusion Self Service Procurement Cloud Service - Version 11.1.11.1.0 and later
Oracle Fusion Self Service Procurement - Version 11.1.11.1.0 and later
Information in this document applies to any platform.

    Goal

User should be able to select line type of 'Fixed Price Services' and still be able to specify Quantity and Unit Price (as if the line type was 'Goods').

Currently, purchasing IT services are done and billed in quantity.

Requirement is even though purchasing a service and not the goods, to be able to define Unit Price corresponding
to Invoicing for a day of service (for example Senior IT consultant)

Create BPA line for IT services with
    - Standard purchasing line with code = Goods
    - Purchase Basis = Goods

Service purchasing must be done in quantity.
As the "product type" is derived from the purchasing line type, on the PO line, value is equal to the goods (and not services) : it can impact E-tax calculation.

It seems that Purchase Basis information drive two information at the same time : purchasing in quantity or amount, purchasing in goods or service, so how to manage services purchasing in quantity ?

NB: more than 60-70 % of purchase order are automatically created (the aim is 80%)

Other example when requester try to create Noncatalog Request, he can choose between to standard line type :
Goods or services billed by amount : "product type" automatically derived = service
Goods or services billed by quantity : "product type" automatically derived = goods

Users can not create a Noncatalog Request with line "Goods or services billed by quantity" and "product type" automatically derived = service.

19D: Requisitions for internally orderable items now created at purchase UOM rate
    Summary:
19D: Requisitions for internally orderable items now created at purchase UOM rate
    Content:

In most cases, our internally orderable units of measure are lower than the purchase unit of measure (e.g. EA vs BX).

Prior to 19D, if an internally orderable item was added to cart, it kept the quantity that the user entered but changed the UOM from the PUOM to the IUOM (e.g. 1 BX when added to cart became 1 EA). Now with 19D, when an item is added to cart, the quantity is multiplied by the intraclass conversion rate (e.g. 1 BX when added to cart is now 48 EA).

Is there a way to override this new system behavior? It is causing us many errors and inventory stock-outs due to requesters now ordering larger quantities than intended or expected.

Introduction to using Units of Measure in Self Service Procurement
    Content:

    Customers (and Support)

We have received quite a few posts (more so in recent times) with issues around units of measure (where multiple units of measure are defined). I have attempted a primer that should give you some very basic configuration scenarios with illustrations of the setup.

Do take a read and let me know your thoughts. This is but a basic introduction. You can expand on these (create blanket agreements or other supporting flows) to see how this works in various scenarios.

    Thanks

How to create a requisition referencing an agreement in a different currency
    Content:

As a reminder to customers, this is a feature that was introduced in Release 13 Update 17C

    Problem Statement:

Prior to this feature, a requisition could not be created in a currency other than in the currency that the CPA that it referenced

    Feature:

    1. This feature applies to Contract Purchase Agreements

    2. It can be leveraged when creating Smart Forms or using the Enter Requisition Line flows

    3. The Catalog Administrator when defining the Smart Form can determine if the default currency has to be different than the agreement currency and also whether the user can change the default currency when entering a requisition

    4. The price entered by the requester will not be converted to the currency of the agreement

    5. Also note that if the agreement is not manually entered but sourced automatically by the system, the same behavior applies where the system will source an agreement in any currency

We do hope you find this feature helpful for your business requirements and this article that describes it. Let us know with your feedback and ratings.

Ability to default Item Standard Cost as Unit Price
    Content:

We have a requirement to capture requests for using items that are stocked in our warehouses for R&D, Internal testing or Trade shows etc. Such requests need to go through multiple approvals before they can be fulfilled.

On reviewing the available options we planned to process such requests as "Purchase Requisitions" using Self Service Procurement where we use supplier as *** Internal. Approved requisition is then converted as an Expense order in OM cloud to schedule, plan and fulfill from the warehouse where the product is stocked.

For this process we require the unit price on the requisition to default as Item Standard Cost. Please advise if there are any options to do this.

NOTE: We don't want to use the option of updating List price in Item Validation Org with Item Standard Cost as that will be maintainence intensive and could cause problem with the true external PO pricing with the supplier.

Ability to have certain segments of PO Charge account not editable
    Content:

    Hi All,

Do we have any standard functionality either through profile or role where in  we can make certain segments of the PO charge account(accounting flexfield) not editable. Users should not be able to edit natural account and channel segment while they should have the option to change the Company and Cost Centre segment.

There is a functionality in Oracle Expenses Cloud where we can have only the company and cost centre segments editable while the other segments not editable. The profile option is  :- Allow full expense accounting flexfield override where in when we set this to 'Yes',the full flexfield is editable and if we set this to No then only the company and cost centre is editable.

Do we have any similar functionality for PO Charge account while creating requistions?

    Regards,

    Vikram

    Hi All,

We have a requirement where in if the PO is older than a year, then user should not be allowed to edit the PO. Is there any standard way to achieve this. I know we have a functionality called :- "Close schedules in worksheet" which can use the inactivity period parameter but that brings all the PO's which are closed for Invoicing or closed for Invoicing. We would want only Open PO's which are not yet received or Invoiced to  either auto close or to not make it editable.

Is there any way to do a personalization to hide the edit functionality on the PO?

    Hi,

One of our client requirements was is there any way for a person to be designated as receiver for a certain group of employees. To illustrate this say for example we have 6 employees Mr A, Mr B, Mr C, Mr D, Mr E, Mr F. I want to designate Mr. C to receive on behalf of Mr A and B plus he can receive his own. In the same way Mr F should be able to receive on behalf of Mr D and Mr E and should receive for himself.

    Regards,

    Hello,

Our users are looking for functionality where a group or team needs to have access to each other’s requisitions. When a user creates requisitions, we need the ability for anyone on their team to make updates to those requisitions. This includes adding additional lines, removing lines, updating pricing, updating ship to location, or making any updates the original preparer could make including cancellation of the requisition. updating the requestor/ preparer is not an option, its more like who ever is available from the group need to perform activity on the requisitions. And Primarily we are talking about requisitions in incomplete/ in-process status..what options do we have in cloud..does re-assign work for this type of requisitions?
