    A Report showing purchasing documents which are currently pending approval and the person they are currently assigned to.

    My colleague had provided this article in the BI Analytics section a while ago. I thought it would be relevant to post it here for any new customers that are following this forum.

    Business Requirement:

    If you want a report that simply shows the current approver for a purchasing document (that is, you want to know with whom a document is pending), you can create one using the BPM UI Views. Please see the image in the attached document BPM UI View - PendingApproverReport. Note that you will need to create a seperate report (i.e. seperate BPM UI View) for each type of purchasing document approval process that you are interested in.

    If you need more details, such as how long the document has been pending with the current approver, the approver's email, their manager's email and so on, follow the instructions below to download and run a report created using BI Publisher. This is a single report which covers purchase orders, contract purchase agreements, blanket purchase agreements and requisitions

    How to generate / execute this Report:

    To add this content to your environment:

    1. For R13 (and higher) environments
      • Download RPT_PendingApprover.xdoz
      • Download DM_PendingApprover_R13.xdmz
      • Rename DM_PendingApprover_R13.xdmz to DM_PendingApprover.xdmz
    2. Log in to BI Publisher, click on the Catalogs link and locate the folder where you want to save the report and its corresponding data model e.g. Shared Folders>Custom

    3. Click the ‘Upload Resource’ icon

    4. Select the Data Model File (DM_PendingApprover.xdmz) and click to Upload

    5. Repeat Steps 3 & 4 for the Report File (RPT_PendingApprover.xdoz)

    6. Both the data model and report should now be successfully uploaded and visible in your catalog

    7. Select the report and click on ‘Open’ to run the report

    The following attributes are displayed on the report

    Document Type (i.e purchase order, agreement, requisition)
    Document Number
    Description
    Date document was submitted
    Current Approver (and their email, their manager)
    Date document was assigned to the current approver
    How many days have elapsed since document was submitted for approval

    Given below is a treatise on how to configure the BI Publisher Templates to modify the layout or format of the Requisition Approval Email Notifications:

    Release 13 (Update 18A) allows you to opt in to and enable Business Intelligence Publisher template based Requisition Approval email notification. This feature provides the capability to configure Requisition  Approval notification as per business needs. Refer Oracle Procurement Cloud TOI for more details.

    For Requisitions there are three flavors of Notifications that are supported in BIP

    • Standard Approval Notification
    • Re-Approval of line updated by Requester
    • Re-Approval of line updated by Buyer

     

    Download Report

    1. Login into Oracle Business Intelligence Publisher.
    2. Click Catalog.
    3. Expand folders: Shared Folder -> Procurement -> Self Service Procurement.
    4. Select Requisition Approval Email Report. Click More and select Customize. This will create a copy of the report in the Custom folder.
    5. Click Edit under the Requisition Approval Email Body Layout. This will download the RequisitionApprovalEmailLayout.rtf.

    Edit Report

    1. Open the RequisitionApprovalEmailLayout.rtf in MS Word with BI plugin installed.
    2. User need to load the sample xml file, so that all the attributes in the data model are available for customizing the template.
    3. Edit the content or layout as necessary. For example, if you want to include Line level attribute Item Source, you can go to BI publisher, Select the field, ITEM_SOURCE and click insert
    4. Save.

    Upload Report

    1. Login into Oracle Business Intelligence Publisher.
    2. In the Catalog, expand folders: Shared Folder -> Custom -> Procurement -> Self Service Procurement.
    3. Click Customize under the Requisition Approval Email Report.
    4. Click on Add New Layout button
    5. Click upload icon under Templates.
    6. In the Upload Template File pop up, select modified report, leave template type as rtf, select English (United States) as Locale, and click OK.
    7. Click Save icon on top right of the page.
    8. Go to List View of the templates, select the default layout and Save it.
    9. The customized attributes will be available in your Approval notification

    Note,

    • Its recommended that you first Customize the original report to save a copy under the Custom folder. Desired changes should then be made to report under the Custom folder.
    • Preview changes prior to uploading the modified report.

    Business Problem:

    Customers often have a large number of complex approval rules configured on their system to enforce purchasing approval policies. For audit purpose, a common business ask is to provide a report on the approval policies prevailing across cost centers, track changes in approval policies over a period of time etc.

    The attached document contains the steps to create a custom report based on SQL query using the Oracle BI Publisher reporting solution. The report will extract all requisition approval rules configured in system, the rule conditions and actions and the stages the rules are created in.

    Creating a new report using the BI Publisher tool comprises of two parts:

    1. Creating a Data Model : A data model is an object that contains a set of instructions for BI Publisher to retrieve and structure data for a report. Data models reside as separate objects in the catalog. In the example I have taken, the data model is based on custom SQL query.
       
    2. Creating a Report based on the data model

    The document also talks about how an end user can be granted appropriate permissions to be able to run the report.

    Note:

    1. Creating and editing data models requires that user is granted a role that includes the BI Author role and the BI Publisher Data Model Developer role. Note that the ability to create Oracle BI Publisher data models enables the user to write and execute SQL, therefore implementors must consider carefully.
       
    2. It is possible to leverage the same SQL query to create a report on Purchasing approval rules as well, just by updating the bind variable value in the attached SQL query to reflect the task name DocumentApproval.

    Issue:

    The customer in this case reported an incorrect date being displayed in the Requisition PDF. On further analysis, support provided the following details:

    This issue occurs when the customer user has set the User Preferences > Date Format to "dd-MM-yy".

    While we address this as a bug fix in a future release, development did suggest that the customers may use the following as a fix in the interim:

    Fix:

    Customize the template to show correct date : 
    1. Open the Requisition RTF template to customize
    2. Edit the property for 'Requested Delivery Date' field as below:

    • Existing: <?format-date:FormattedNeedByDate; 'XDODEFDATE'?> 
    • Proposed Change: <?FormattedNeedByDate?> 

    This should resolve the issue and display the right date in the Requisition PDF.

    Please be aware of the below if you encounter OTBI  reporting issues in retriever person information such as Requester or Preparer.

    Problem Statement:

     Unable to fetch any data through Requisition Preparer column in OTBI analysis using Requisition Real Time.

    Bug Details:

    This was one among more bugs that were logged against OTBI for the issue:

    The customer in this case did not want the following additional workarounds:

    A. The workaround of creating a role base on inheriting the seeded Human Resource Analyst job role, and select View All People for Person security is not acceptable in this use case.   

    B. Also, using Procurement Manager role is not desired to be given to some users.

    Workaround suggested:

    1. Create a copy from Purchase Analysis Abstract Role. -> "Purchase Analysis Abstract Role Custom" or other preferred name. 

    2. Go to edit the custom role in security console. 

    3. Go to the 3rd step (Data Security Policies). 

    4. Find the policy name "Grant on Public Person" and Privilege = "Report Public Person". 

    5. From the drop down list choose Edit Data Security Policy 

    6. Change the Data Set =  All Values 

    7. Then submit. 

    8. Grant role to user and then execute 'Retrieve Latest LDAP Changes'. 

    9. Verify if person information is now accessible for this user. 

    Note that in this case, it will not allow user to access other SAs. Only the SA purchase analysis can access.
