    Title:
Closing unfulfilled demand on PO by requisition user
    Summary:
Wondering if it is possible for a user to initiate the close of a PO?
    Content:

We use autocreate PO from requisition. It is common for users to estimate a quantity but then only receipt an amount less than what was ordered. This leaves an outstanding amount on the PO. Is there a way that the user can initiate a close of the PO when they know that they won't need the remaining ordered quantity?

Closing a PO falls more under the Purchasing purview. I will transfer this post to that forum for guidance. Let me know if any concerns.

Could you please review and provide some guidance here?

      Hi Stuart.

My suggestion would be that the requester create a change order to adjust the PO ordered amount to match the received quantity/amount, and then the automatic close process (based on receipt/invoice close tolerances) should trigger.

Thanks Ivan for the comment. That is useful.

Would you expect a reduction change in a PO to require full approval from all previous approvers? Eg. If a change to a PO that previously might have had 5 approvers because the amount was large, if the current change is only very minor reduction, would you expect each of the original approvers to have to approve again?

        Kind Regards,

Hi Stuart - You can leverage the approval attribute "Is Change Order" and followed by "change in functional total amount" or "document total change percent" or any other attribute related to change as per your requirement and drive the approval rule.

          Thanks

          Deepak.

            Thanks Deepak,

We will investigate the approval rule to see if we can incorporate your suggestion.
