      1. When interfacing thousands of AP or AR invoices from an outside sourced system, how would you handle rejections (example, GL accounting is incorrect) if there are hundreds of rejections?

      2. Is there a "preferred" way to interface daily accrual transactions or should they just be netted and enter at month-end?  What if you need to provide weekly or daily financial reports?

      • Rashmi Goyal

        1) Am assuming you are referring to importing data into GL using Journal Import. So if journal import rejects that data because the account is invalid or the corresponding accounting period is not open or some other issue, then the notification report sent via Accounting Automation will list all the issues. Once the issues are resolved, the next automation run will automatically try to reprocess that data.

        2. How you populate the interface table for journal import depends on your business needs & requirements.

          1. No, I am not referring to GL Journal Imports.  I am referring to imports into both AP and AR.  If we make a change in our source systems that no longer maps correctly to our Accounting Flexfield, we could have hundreds of rejections.  How would those rejections be corrected without having to do them one-at-a-time in a manual process?

          2. We are anticipating interfacing accrual data through the Accounting Hub with detail that could be used for financial reports, but the "summary" would be interfaced into the GL.  Because there is a financial cost based on the amount of data fed through the Accounting Hub, we are planning to only interface accruals at month-end.  This process will prohibit us from getting any mid-month accounting reports with accurate results, because accruals would be missing.  I'm wondering if there might be a better way to enter daily accruals (maintaining detail not needed in the GL).

These questions are not related to "Accounting Automation". Accounting Automation automates Import Daily Rates, Create Accounting, Journal Import & Posting. It does NOT currently automate importing into AP & AR. The 19D What's New & New Feature Summary provides an overview of this feature (its listed under "General Ledger").

            1. If you are importing transactions into AR/AP interfaces as invoices, then it is no longer accounting. Its a business process. For bad invoice data upstream,  invoices in AR/AP need to be fixed. But if invoice is already accounted, then you can send FDBI call to AR/AP to cancel the invoice, send the corrected invoice again and get them accounted.

            2. If you bring the data in more often, then you can report earlier, but there will be performance implications.  If you bring the data in less often, then you cannot report until the end, but the performance will be better.  That is the tradeoff, no way to bypass it.

Only the notification is sent if there are exceptions? Can the create accounting execution report be sent?

      • Rashmi Goyal

If there are no exceptions, a notification is still sent to the "Default User/Role" which gives them a summary of posted balances across all ledgers OR informs them that there was no data to process. If there are exceptions, then in addition to the default user/role, additional folks are notified based on your setup under "Error Notifications"  section of the Manage Accounting Automation setup UI.

The individual create accounting execution reports are not sent. A consolidated notification report is sent that lists all exceptions for the import daily rates, create accounting, journal import & posting processes that were submitted as part of the automation.

The notification doesn't say what Sources the notification is for. So if I want J.Smith to received notifications for Cash Management and Payables for example this person will receive 2 notifications but they won't say which Source they are for.

          Very confusing.

          • Rashmi Goyal

A user will NOT get two notifications. Each user gets a single consolidated notification which contains details about the error including the source.

Hi Rashmi - sometimes we practice to run Create accounting in DRAFT mode first and then in FINAL mode after verification. But I believe the automation is running CREATE ACCOUNTING in final mode. So is there any way we can run it in DRAFT mode via automation? or for DRAFT mode we need to run manually for individual sub-ledger?

    • Rashmi Goyal

The documentation for accounting automation is here -

      Additional info:

      • If approval is enabled for the ledger, then accounting automation will submit the respective journal for approval (i.e. it will not post the journal unless the journal is approved)
      • Daily rates import process is ONLY submitted if there are rates available in GL_DAILY_RATES_INTERFACE table. So if you don't upload new rates in this table, then the import process is not submitted.
      • You can exclude journal sources from automation. You cannot exclude journal categories though. If you have a requirement to exclude journal categories, please log an idea/enhancement in the idea lab.
      • Accounting automation currently submits the processes for all ledgers and business units in the system. If you have a requirement to exclude certain ledgers/business units, please log an idea/enhancement in the idea lab.

What are the limits or problems involved with Accounting Hub and this new Accounting Automation?

      • Rashmi Goyal

There are no issues with using Accounting Hub & Accounting Automation together, so you can use both of them.

The confusion here seems to be because of the name similarities between "Accounting Hub" & "Accounting Hub Reporting Cloud" (besides the name, there is no similarity between these two features):

Accounting Hub is an SLA feature that allows customers to use SLA accounting functionality to account for external data.  The data is imported from a file, then accounting is automatically submitted for it.  Accounting Automation doesn't import from the files, but if there were errored events for custom applications, it will pick them up as part of its automation run.

Accounting Hub Reporting Cloud is a GL feature that allows EBS customers to use a Fusion essbase cube for reporting.  Customer does all their work in EBS, and then runs an EBS program to transfer and post the data in Fusion.  The EBS/Fusion logic handles all of the transfer and failure recovery. There is nothing for Accounting Automation to do, but running it simultaneously could break the logic, hence this is not recommended (as mentioned in the documentation).

What is the sequence of Subledger Create Accounting processes followed by this feature behind the scene? Also, are there any other processes associated to Create Accounting being triggered automatically, e.g. Validate Payable Invoices, Initiate Invoice Account Coding Approval, Initiate Invoice Approval Workflow, Refresh Receivables Transactions for Customer Account Summaries?

      • Rashmi Goyal

If there are any unaccounted events ready to be processed, then the automation will submit Create Accounting, Transfer to GL, Journal Import & Posting. It currently does not automate submission of other subledger processes that you mention (i.e. Validate Payable Invoices, Initiate Invoice Account Coding Approval, Initiate Invoice Approval Workflow, Refresh Receivables Transactions for Customer Account Summaries).
