    Title:
Change Order Cost Center manager Approval at line level
    Summary:
Whenever there is change order happens against PO and changes done at line level the change order should follow newly added line cost center manager approval hierarchy not the existing lines
    Content:

There is change order(XX)exist against PO (***) and which are having status either Incomplete/Pending Approvals or Approved.

Requirement : If new line are been added in to change order(XX) then it should always follow the newly added lines (cost center) approval hiearachy.

Rules are written on amount changed at header level including the cost center numbers with respect cost center manger approvals and which is working fine.

User needs that,if there is additonal line added in the change order then it should only follow the added lines cost center manager approvals not the exisiting lines cost center approvers.

Is there any attributes where We can compare the cost center with existing lines cost center and build approval hieararchy around it.

Can any one help on the same.

There is an approval attribute, entity change type, that can be used at the line level to determine if a line has been added.  You should be able to use this attribute in your rules to route for cost center approvals for the the lines that have been added.

        Hi Kim,

Thanks for your valuable inputs, I have tried this option and seems working fine.

it allows me to change all the line level attributes in newly added lines and cost center approvals are being followed for newly added lines.

What if, I want to restrict to the Amount or Quantity gets changed only then this should follows the Cost center approvals.

Is the Attribute : Change in Line Level Document Total Amount works?

        Regards

        Akash

        Hi Kim,

I have a similar requirement and as you have mentioned that the attribute Entity Change Type can be used to route for cost center approvals for the the lines that have been added.

However, in case of PO change orders, if I am adding a new line or updating an existing line, is there any way in which we can configure to send for approval ONLY to the approval hierarchy for the line added / updated instead of all the approvals using this attribute.

If you have any idea can you please confirm.

        Thanks

        Aishwarya

          Hi Aishwarya,

Not sure if I have the use case correct, but could you write rules using the following attributes

          1. Change Order Approval Rules:   Header Level - Change Order = Y and Line Level -  Entity Change Type has values 'Added' and 'Changed route to approval hierarchy

          2. Initial PO Approval Rules:    Header Level - Change Order = N route to approval hierarchy

          Thank you, Kim

Thanks Kim for your prompt response..

In my use case, lets say if I have a PO submitted for approval having two lines, Line 1 and Line 2 with two different approvers P and L respectively. As the PO approval is at header level, both my approvers will be in the approval hierarchy.

            a. In first use case, if I create a change order # 1 and let's say modify the attributes of line 2 which will make it go to a different approver M, with the change order approval rule you suggested, will the Change Order approval will go only to M or to all the approvers of other lines (1) also?

            b. In second use case, if I create a change order # 12and let's say add a new line 3 with a different approver N, will the Change Order approval will go only to N or to all the approvers of other lines (1, 2) also?

I had posted a question around this on the portal and the response I got is "That would be a partial or line level approval. That is not supported."

Can you please suggest on this.

            Thanks

            Aishwarya

              Hi Aishwaraya,

In case a) : System follows both the approvers of Line 1 and 2 because you have not added any new line in change order, have just modifiying the exisiting line.  until and unless you use the Line level attributes system always follows the header level changed.

In case b) : You have to add condition in your approval rule: Entity Change Type Equals Added then only it follows newly added line level approval heierarchy.

                Thanks Akash..

And in case a), if we use the Entity Change Type Equals Changed, then will it go to the approver of Line 2 which was modified.

                Is my understanding correct ?

                Thanks

                Aishwarya

                  HI Aishwaraya,

                  Yes, you are correct !

but in that case one must do some changes on Line 2 like Qty,Amount,Requester etc.

                  Regards

      Hi Akash,

Glad that you were able to use the previous attribute.   For amount/quantity changes, the attribute you suggested should work or you could also try Line Total Amount Change Percent.

      Thank you, Kim

      • Akash Jadhao

        Hi Kim,

Thanks for the inputs....I think Line Total Amount Change in Percent should applicable to amount changed on line level but it could not work on quantity changed.

Any other attribute can be used where both checked at one time?

        Regards

        Akash

    • Kim Powell

      Hi Akash,

It seems that the' Change in Line Level Document Total Amount' and the 'Total Amount Change in Percent' should be calculating price * quantity and should capture a change in either.   Do you need to capture independently?  There are attributes to capture change in price including 'Price Change Document Schedule' and 'Price Change Document Schedule'.  There is not an approval attribute to track a change in quantity.  To capture change in quantity, you will need to use the amount columns.

      Thank you, Kim

      • Akash Jadhao

        Hi Kim,

yes I need to capture both Quantity and Amount Independently, could you suggest ?

Also please find the below note for the Entity change Type attribute :

"Entity Change Type" -- Type of change made to the line, schedule or distribution. Whether it was added, changed or canceled. "

        Regards

        Akash

I am not aware of an attribute for quantity.  A suggestion would be to check if there is an amount change, but not a price change.

      Thank you,

      Kim
