    19A Upgrade - Allow Approvers to Update Budgetary-Controlled Requisitions

    Per the upgrade documentation, we have enabled feature to allow for approvers to update budgetary-controlled requisitions. In testing today, we are not able to find any way to actually make the change on the requisition when accessing the approval. Is anyone else testing and aware of additional setup or security that might be needed? There is no option under the actions menu. Thanks in advance!

     

    ALLOW APPROVERS TO UPDATE BUDGETARY-CONTROLLED REQUISITIONS

    As an approver, you can now edit a budgetary-controlled requisition submitted by a preparer in order to change the chart of accounts, project details, quantity ordered and so on. When you submit a changed budgetary-controlled requisition, the application runs budget checks and handles the reservation on either submit or approval, depending on the budgetary controls configuration. If the budget check fails, you are notified with an appropriate error message, funds will not be reserved, and the requisition will not be submitted.

    STEPS TO ENABLE

     

    You must opt in to enable this feature. For instructions, refer to the Optional Uptake of New Features section of this document.

    Hi Jon

    In addition to the opt in, please make sure that the approver, who needs to edit the requisition during approval, has the privilege Edit Requisition as Approver.
    Out-of-the-box, this privilege is not inherited by any role. So, no user has the option to edit the requisition during approval by default.

      Jon, 

      We just tested this functionality on Tuesday/Wednesday.  We had previously set up a custom role with the privilege noted by Mara.  We are not having any issues with our approvers being able to use this functionality.  

      However, we are having an issue with the approval notification emails after the approver completes their edit.  When they submit the requisition, which automatically approves it, they are receiving a notification email that the requisition requires their approval.  I am opening an SR on this issue today.

        Judy and Ashok,

        Looks like we are having the same issue now that the security is in place. Once the edits are done, it should be approved, correct? Our users still had an item in the worklist to approve, but then it flowed normally after that. The buyers are very glad to have this functionality though.

        I created an SR on this issue last Friday and have not had a response so far.  Would you be able to check into this for me?

      Judy and Jon,

      Could you please verify that the option "Reapproval required for changes made during an active approval process" is not checked in the FSM task Configure Requisitioning Business Function, for the BU you are using.

        Mara,

        That setting was marked in my configuration. I turned it off and this time, the change did not required the additional approval step. We'll do some more testing, but I think that was the trick for us. Thanks!

      Thank you Mara.  I have confirmed that the option is not checked for the BU we are testing.

      I just opened an SR in MOS.(SR 3-19379629011)
