    Import Requisition records are not visible in Manage Requisitions.

    Hi all,

    We are using Importing Requisitions to import records and ESS job was successful with no errors. But the requisitions are not visible in Manage Requisition but are available in Process Requisitions.

    We have checked all the roles related issues, user who ran that ESS job has all the required roles and he is a Procurement Agent as well.

    Not sure what exactly is the issue, any input on this would help.

    Thanks for the details. You have logged in as User B and tried to find these requisitions, correct? Also, does this User B see any other requisitions or none at all? In other words are the only requisitions they cannot see the ones that were imported?

      Hi Eswar,

      Do you mean Manage Requisitions or View Requisition Lines? Note Manage Requisitions will only show requisitions for which the logged user is the requester or preparer, unless the user has the "View Requisitions - All" privilege.

        Hi Ivan,

        Its "Manage Requisitions" from Purchase Requisitions Page. The user is given with Advanced Procurement Requester abstract role as well, but still no indication of what exactly the issue.

      Are these requisitions that you see in Process Requisitions externally managed requisitions? In other words, can you confirm when you imported them what the value for the flag EXTERNALLY_MANAGED is set as? If it is set to Y, then what you are observing is accurate. If it is set to No, we can review further.

        Hi Ashok,

        From table POR_REQUISITION_HEADERS_ALL, I checked EXTERNALLY_MANAGED_FLAG was set to 'N'. 

        One of the anomaly is when User A imports, the requisition in the page displays ENTERED_BY and REQUESTER to User B.  These values were not added while importing, but common thing what they have is Email ID.

        Please find my response for your questions,

        • Also, does this User B see any other requisitions or none at all? In other words are the only requisitions they cannot see the ones that were imported? --- I'm not sure, I don't have access for it.

        Parallelly,

        • You have logged in as User A and tried to find these requisitions, correct? --- YES
        • Also, does this User A see any other requisitions or none at all? In other words are the only requisitions they cannot see the ones that were imported? --- YES (We can see the requisitions entered manually).

      Please note that  by assigning Advanced Procurement Role, user will only be able to view PR, on which they are placed as Requester.

      1) Kindly ensure that the Requisition which is imported is having the same user as requester, from which you login and trying to search requisition under Manage Requisitions Page.

      2) In case Point 1 isn't valid, kindly create a custom duty role, having the following privilege:

      POR_VIEW_REQUISITION_ALL_PRIV : View Requisition - All

        Hi Piyush,

        Thank you for the response.

        Yes I did create Custom Role and gave all roles related to Requisition, including the one you mentioned.

        I even referred below Doc ID as well,

        "Requisition Viewing as Administrator Duty" and "Requisition Reassignment as Administrator Duty" in R12 (Doc ID 2300513.1).

      Hi Eshwar

      Then it seems to me that you have to find a way to log in as User B and see if the requisitions are visible. I would imagine these will be visible. If that is true, then the question would be: How does the User B get assigned as the Preparer / Requester. For that you would have to start by looking at the FBDI template you used to check if that is the source of truth for this data.

        Hi Ashok,

        Your above statement turnout to be true, User B can see the requisition. 

        Coming to FBDI Template, the Entered By column was filled with User A Email ID, and same Email ID is used by User B as well (Same Email ID is used for most of the Users), then why User B it could have been any other name, is it because the Requisition Preference was set to User B ?

        And is there any sets of roles and privileges to create a Custom Role who can see all the requisition regardless of Entered By, Requester or any other attributes. Because I ended up adding every role available for Requisition to User A but the Requisition Entered By User B was not visible. Or is there something i'm missing out here.

      How do you have the same email address assigned to multiple users. This is a bit baffling. Could you perhaps elaborate a bit on the business requirements around that and why that is the case?

      To your questions:

      1. You are logged in as the user who has been assumed as the 'primary' user by the system and assigned the requisition to that user. That is what I can surmise from the details you have provided. Honestly, I have never encountered this at a customer business so it is a bit difficult to reason exactly why.

      2. Entered By is essentially that user that can manage requisitions for multiple requesters within a Requisitioning BU. There is no role per our design that gives you access to all users in the system across Requisitioning BUs. That is a fundamental tenet of this design too. The idea is not to provide 'free' access to everyone's requisitions without a specific purpose in Self Service Procurement. The Preparer role (which is what Entered By represents) is a role that is a designated user in the buying organization whose job it is to place requisition requests on behalf of requesters assigned to his purview.

      Trust this helps clarify.
