    Tip on Approval Reminder Notifications
    Summary:
    Approval Notification Reminder expected functionality
    Content:

There were 3 customers with the same issue reported:

Notification reminder for Requisition Approvals not working

    Steps to reproduce:

    1. Go to BPM work list for Procurement

    2. Configure reminder for reapproval

Turns out that the customers were all expecting to see these reminders in the BPM Worklist

    So, here's the tip:

Reminder is only sent via EMAIL. Reminder is never sent to BPM worklist. The idea is to remind the end user that there is a task waiting for action in BPM worklist by sending email.

These may sound like obvious things to be aware of but sometimes these reminders tend to help.

      Hi Ashok,

Thanks for the note. I have a question on the reminder notification.

      - Can this be setup at individual task or assignee level?

      Thanks

      Ramesh

      • Ashok

When there are parallel approvers, there will be 2 parallel tasks and remainder will be sent to both the tasks.  We can't set it at assignee level.

      Hi Ashok,

Is it possible to manually resend an approval notification for a specific PR or Invoice? If a PR or Invoice sits in an approver's queue for a few days, it would be nice to have the ability to manually re-trigger a notification to the current approver.

      Thanks!

I don't believe you can send it for a specific requisition, no. But reminders capability does exist. Just note that reminder notifications are only sent via E-Mail not via the BPM Worklist. I posted an article with a tip regarding this topic  in this forum should you wish to review.

          Hi Ashok,

What does the reminder capability do?

I think its fine to send reminder notifications via Email as everyone has a smartphone these days anyways and would prefer to review and approve via Email, but if there is no capability to manually re-trigger notifications, then I feel this is functionality that Oracle needs to look into ASAP.

This is standard functionality that every Procurement system should have, does not make sense to be unable to manually re-trigger an approval notification. Especially when PRs are routing to high level executives that might be on the road, they do not have time to go through their emails, having the ability to manually re-trigger a notification and having it at the top of their inbox is very valuable in these situations.

          Thanks!

          -Alan

Hello Alan, this is Andrei from PRC Support. Was also following on this and I would have to ask.

If the approver is already not acting on the notification, its on Bell and active, what would re-trigger accomplish?

Please review: Setting Up Document Approvals in Oracle Procurement Cloud (Doc ID 2264952.1)

it contains details on reminder and how it can be set: You can set up reminders to be sent before task expiration or after task assignment.

            • Alan

              Hi Andrei,

I'm not sure if you have ever created PRs and had to chase down people to approve them, but I have personally experienced creating high dollar PRs that route to high level executives, VPs, C-level staff, they DO NOT have time to search through their emails looking for a specific one to approve. Having the ability to manually re-trigger a notification to send an email and have it at the top of their inbox makes all the difference in the world.

I do not know where Setting Up Document Approvals in Oracle Procurement Cloud (Doc ID 2264952.1) is located, if you can provide a link, I'll be more than happy to review it.

                try - https://support.oracle.com/epmos/main/downloadattachmentprocessor?attachid=2264952.1%3APRC_APPROVLS_R13-18B&docType=WHITE%20PAPER&action=download

                Its the link to 18B

please review chapter on-  Expiration and Escalation Policy- page 11.

You can also set escalation if approval is not progressing and reminders (set either for task expiration or task assignement).

I have to admit Alan that I did not have to chase people to approve.
But for high level individuals as VP's, C-level staff, I do not see how a re-trigger a notification in bell would help.
The notification is allready there, as active. Or please better describe(bell, worklist or email) the actual notification you are expecting.
I believe a reminder on email would be better suited for above mentioned individuals as usually e-mail is their preffered way to communicate.

                Let us know your thoughts,Andrei

                  Andrei,

                  Here is a simple example:

                  1. I created a Purchase Requisition for $2,000,000 dollars, this needs to route up to everyone in the approval chain for approval. The PR is sitting in our CFO's queue for approval.

Can I manually re-trigger an EMAIL notification for PR Approval so that our CFO has this email at the top of their email inbox to approve? Yes or No?

                  -Alan

                  • Andrei Feleaga

                    Answer is no Alan,

                    You cannot manually re-trigger.

Please review documentation. You can either set reminder for approval task on either - task expiration or after task assignment.
You can also set frequency of reminders set.

You could also set, approval task to be escalated to CEO in case CFO does not approve.

You can also set the task to expire or renew.

Please let me know if you can access the provided link for the whitepaper.

                    Regards,

                    Andrei

                      Hi Andrei,

Is this something that Oracle is looking into or something that Oracle does not intend to implement? Do I need to raise this in the Idea Lab?

                      -Alan

      Hello Ashok,

Will the user/approver able to take action in the reminder email ? will the reminder email look same as original notification email ?

    • Ashok

No. As the original article states, it reminds them to find the approval notification in the BPM work list to approve.

      • Lavesh Chauhan

        Hello Ashok,

I am going to use this functionality for invoice approvals (FinApInvoiceApproval). Do you know anyway we can change the subject of reminder email so that it looks different from the original one?

        Thank you in advance.

    • Ashok

There is not a way to change the subject line just for this type of notification. This is an enhancement.

But you could post this on the Financials forum too to see if they provide any guidance that might help you specifically on invoice approvals.

      Hi Ashok,

      Below is the business requirement:

      Requirement is As Follows.
X,Y,Z are Approvers in serial Approval Workflow

When a PR is submitted for Approval and below are the use cases:

X Approver has got the notification and After 24 Hrs still there is no action , then send a reminder to X
Now After 48hrs still there is no action from X then application should send the approval task to Approver Y and skip Approver X, something like notification is timed out

Again After 24hrs if there is no Action from Y, then send reminder to Y
Now After 48hrs still there is no action from then application should send the approval task to Approver Z  and skip Approver Y,something like notification is timed out

Again After 24hrs if there is no Action from Z, then send reminder to Z
Now After 48hrs if still there is no action from Z last approver, then application should send the approval task back to Buyer.

Can this be achieved in Fusion.

      Thank You in Advance.
