    Title:
    Journal post by approver
    Summary:
Journal approval follows the employee supervisor hierarchy and once the journal is reviewed and approved the approver should have the ability to post the journal.
    Content:

    Hi,

One of the requirements for General Ledger posting is the preparer should not be able to post. Using sandbox customization we hid the 'POST' button on Create Journal UI to restrict user to post, but how can we prevent preparer to post the spreadsheet journals?

And , Journal approval follow the employee supervisor hierarchy and once the journal is reviewed and approved the approver should have the ability to post the journal. Using supervisory hierarchy GL approval rules, we are able to send the journal for approval. However unable to post automatically upon the approval?  How can we achieve this?

    Can you please advise.

    Thanks

    Mani

It's important to make sure we're distinct about the difference between posting and approving. If journal approval is enabled then when a user selects Post the journal will be sent for approval automatically, then posted if approved. If you select to send for approval then that is all that will happen - the posting will not happen automatically. In our implementation preparers do post the journal but do not approve the journal.

In BPM task configuration for FinGlJournalApproval you can specify that the creator is not a valid approver with the Skip creator for Approval List option - this will prevent anyone who is a valid approver from posting and approving the same journal.

      Hi Mani,

To answer your first question, you can achieve the requirement (preparer should not be able to post) by creating a custom role. I did this for one of my clients.

      Thanks

      Hi Mani,

I just wanted to understand the rational behind restricting a person from posting if journal approval is enabled. Once journal is approved as per GL hierarchy, journal can be posted automatically and there is no need for any person to review and  post the journals manually.

Hi All- Thank you very much for your valuable inputs.

We explained the functionality and user agreed with creating and posting a journal by a same user once the journal is approved.

      • Creator/Preparer creates a journal and choose the option ‘Save and Post’ , which will trigger the approval process automatically and based on the journal approval rules configuration, the journal would be approved and then Journal will be posted automatically.
