    Workflow rejects invoices because LE and amount fields can still be edited

    Looking for tips on why these fields can still be edited and what steps are we missing

    We are testing new invoice approval workflow rules in our Test environment. Things were going well until we ran into a snag and every invoice is starting to be rejected by the workflow. Looking at the invoices, I see some important fields can still be edited, like Legal Entity and Amount.

    I can understand why the workflow would reject invoices in this state, as those fields shouldn't be able to be edited after approval has been given. But we don't understand why the fields are still editable in the first place. AP staff are not doing anything different with these invoices in our Test environment. The invoices have been validated, and accounting has been done on them.

    See the attached screenshots: the amount can still be edited in both, and the LE can be edited in one (the other one is a PO match and that seems to have locked in the LE).

    Has anyone here run into this issue before? Is there a step in invoice processing that we're missing?

    We are also in the middle of a tax subscription implementation in our Test environment, so it's possible that it could be related to that, although I can't think of what the issue would be there.

    Solution

    This behavior is intended behavior.
    Currently, the LE field is updateable even after invoice is validated and accounted.

    So, if the customer is updating the LE after invoice is accounted,then for the accounting to pick up the new LE
    (i.e liability account mapped to this LE), user can follow below steps;

    1. From Invoice Edit page --> in the right hand side pane --> click on Accounted link (shown once is accounted)
    2. Now, in the Accounting lines popup displayed, click on Override Account
    3. Then enter the new account mapped to the updated LE and submit
    4. The invoice accounting is fired and lines are updated

        Hi Afton,

        Thanks a lot for the explanation and the Doc ID that explains this.

        I had searched MOS for some clues to the issue, but I was searching for issues in relation to the workflow rejecting invoices in this state. I will try the steps above and then see if the workflow no longer rejects the invoices.
