    How to respond to an internal questionnaire

    This post illustrates how a user responds to an internal questionnaire assigned to them.
    Content:

    To qualify suppliers, organizations can send out questionnaires to supplier contacts to seek their responses in order to qualify them. Similarly, organizations can also send questionnaires to internal users to seek their feedback on the supplier, such questionnaires are called internal questionnaires. An internal questionnaire is launched via the initiative process along with supplier questionnaire. Suppliers respond to the questionnaires through Supplier Portal, while internal users respond to internal questionnaires by clicking on recommended action links sent to them through email notification.

    Prerequisite

    • A valid user with internal responder privileges.
    • A qualification area which consists of questions for internal responders.
    • An internal questionnaire has been generated and assigned to the user to respond.

     

    Procedure

    • The internal responder will receive a notification to respond to the internal questionnaire.
    • Below is the sample of internal questionnaire notification.

    • Clicking on "Respond to Questionnaire" under Recommended Actions, will direct the user to "Respond to Questionnaires" page, where user can respond to the internal questionnaire questions and submit them for qualification evaluation.
    • Enter responses on the Respond to Questionnaire page and submit them for supplier qualification evaluation.

    How to create and launch an initiative with multiple suppliers?
    Summary:
    This post illustrates how to add one or more suppliers to an initiative and launch it.

    To qualify suppliers organizations send questionnaires to suppliers and qualify them based on the response provided by them. In an organization supplier qualifications guidelines. process, etc. subject to change over a period of time and the qualification for the suppliers should be also updated accordingly. Organizations deal with huge supplier base and to qualify suppliers with ease we can launch an initiative with multiple suppliers at once.

     

    Procedure

    • Create a new initiative and add the necessary qualification areas.
    • Next, you add suppliers to the initiative. You can add suppliers to the initiative by various methods:
      • Clicking the "+" icon or selecting the "Add" task under the Action menu of the Suppliers section.

      • Using the "Search and Add" option.

    • If you need to add just a few suppliers or if you know the supplier names, you can use the "+" icon or select the "Add" task under the Action menu of the Suppliers section.
    • If you need to add a large number of suppliers, you can use the "Search and Add" option to add suppliers to the initiative.
    • The Search and Add feature provides you a variety of supplier search attributes where you can find the suppliers and add them to the initiative.

    •  To add suppliers, use the different search fields to search for the targeted suppliers. Then, from the search result, you can select and add the suppliers by clicking on "Add to Selection".

    • After selecting and adding all the suppliers, click on "Continue" to return back to the initiative screen and you can view the added suppliers.

    • After adding the suppliers, you can configure the questionnaire settings and launch the initiative to all the suppliers present in the initiative.

    Do you know Supplier Qualification has a framework to record automation errors?
    Summary:
    This post provides you an overview of manage automation errors page

    Automation errors pertaining to  Automatic Initiative Creation, Automatic Qualification Creation and Automatic Requalification are recorded under this automation error framework. This framework is available starting in Release 13 Update 17C.

    Users can access the Manage Automation Errors page by clicking the Automation Errors infolet on the Supplier Qualification Overview page or the Manage Automation Errors link under the Tasks menu.  The automation error framework does not only display the errors, but it also provides users to correct the errors and relaunch the automatic flows.  In addition, it provides users an option to archive errors on which corrective action has been taken place.

    This post illustrates how to launch an initiative with internal responders.
    Content:

    To qualify suppliers organizations create a send questionnaire to suppliers, based on suppliers responses to the questionnaire organizations qualify these suppliers. Similarly organizations can also receive feedback on the suppliers from internal departments to qualify them. To perform this, we can use the initiative to send questionnaires to suppliers & internal responders and seek their responses.

    Prerequisite

    • A question has to be setup with internal responder type.

    • Internal responder type question should be added to the qualification area for which an initiative is being launched.

    • A valid user within the organization should be available to respond to the questionnaire.

     

    Procedure

    • Create a new initiative and add the necessary qualification areas. These qualification areas should contain the internal responder type questions.
    • Add the targeted suppliers and internal responders in the Suppliers section of the initiative, Here you can add more than one supplier, and for each supplier you can assign one internal responder to respond to the internal questions.

    • In the Configuration train stop, ensure that the Internal Responder check box is checked. If unchecked, no questionnaire will be sent to the internal responder.

    • In the Questionnaires train stop, you can view the questions for supplier and internal responder by selecting the Show Questionnaire radio button. Selecting Supplier will display supplier questions in the questionnaire while selecting Internal will display internal responder questions.

    • In the Questionnaires train stop, you can further update the questionnaire by:
      • Adding new sections for the questions.
      • Deleting questions from the questionnaire.
      • Changing the order (move up / down) of the questions.
      • Adding a due date for responding to the questionnaire.
      • Adding an introduction note to users responding to the questionnaire.
    • By clicking the Preview button, you can review the questionnaire with changes performed.
    • You can save the initiative by clicking on the Save button, if you need to do some more research and gather more information.
    • You can validate the initiative by clicking on the Validate button, to ensure that the initiative is configured with correct details so that the initiative does not result in an error.
    • After all the validations and checks, you can launch the initiative and send questionnaires to suppliers and internal responders to gather question responses and then qualify suppliers for business.
